Privacy Policy

SoleMiles (“we”, “us”, “our”) operates directories of running clubs and public running races, plus related features (the “Service”). This Privacy Policy explains what we collect, why we collect it, and how we handle your information.

What we collect

• Club information (public). Names, locations (country/region/city/locality), descriptions, schedules, meetup location names/notes, Google Maps links, and club links (website, Instagram, Strava, Facebook). This may be provided by organisers or compiled from publicly available sources such as official websites or social pages.
• Submission details. If you submit a club, we store the email you provide, your preferred contact method, and the submission payload for review and publication.
• Race information (public). Race names, dates, locations, distances, surfaces, statuses, organisers, and official source and registration links. This may be provided by organisers or compiled from official organiser and authorised registration sources.
• Race suggestion details. If you suggest a race, we store the email you provide and the suggestion payload for moderation. Your email is private and is not included in a published race listing.
• Newsletter. If you subscribe, we store your email address to send updates. You can unsubscribe at any time via the link in each email.
• Device & usage data. Our hosting and security providers may collect basic technical data (for example, pages viewed, referrers, approximate location, and device/browser information) to keep the Service reliable and secure. PostHog receives the product analytics events described below and sanitized page and referrer paths. Query strings and fragments are removed.
• reCAPTCHA. We use Google reCAPTCHA to protect forms. Your use of reCAPTCHA is subject to Google’s Privacy Policy and Terms of Service.

Anonymous product analytics

We use PostHog to understand traffic and product usage. This includes page visits and exits, interactions with page controls, whether visitors view club or race details, follow official links, use the race directory, save or share clubs, complete sign-in, submit reviews, join the newsletter, or submit a club or race suggestion. PostHog may store an anonymous analytics identifier and related session information in browser cookies or local storage. We do not identify signed-in runners to PostHog. Custom event properties use controlled labels such as a public club or race slug, country code, distance category, destination type, and the surface where an action occurred.

Our custom analytics events do not intentionally include raw email addresses, names, profile text, search text, review notes, form text, CAPTCHA or authentication values, or raw campaign and advertising-click query values. Query strings and fragments are removed from automatically collected page and referrer URLs. PostHog's standard automatic tracking may collect rendered page content, element metadata, device and browser information, approximate location, referrers, interactions, performance data, errors, and session replays. Form inputs are masked in session replay by PostHog's default recording configuration. The successful sign-in event is an aggregate count with a new random event identifier; it is not linked to the runner's account or other events.

Anonymous analytics is enabled by default when PostHog is configured. You can disable it below at any time. We store that preference for up to 12 months and also honor a browser Do Not Track signal. A previous “No thanks” choice from our former consent banner remains respected.

PostHog processes this information for us on its United States cloud region, so analytics data about your visit is transferred to and stored in the US. We limit analytics retention to no more than 12 months and disable IP-based enrichment where supported. Some supporting operations may involve international data transfers subject to appropriate safeguards.

The weekly run guide is measured separately and first-party. When you open a guide edition we store a random guide visitor ID in your browser and record, on our own servers in a single database row, which edition you viewed, which channel brought you to it, and whether you clicked through to an official run source. We keep this separate because it decides whether the guide is worth continuing, and because analytics blockers would otherwise make the answer unreliable. That random ID is never sent to PostHog and is never connected to an email, runner account, likes, reviews, club interactions, or another third-party profile. Disabling analytics below, or a browser Do Not Track signal, stops this recording too.

How we use information

• Publish and maintain the running-club and race directories.
• Moderate submissions and prevent spam or abuse.
• Send you the newsletter if you opted in.
• Operate, secure, debug, and improve the Service.
• Comply with legal obligations and enforce our Terms.

Legal bases (EEA/UK)

Where applicable law requires a legal basis, we rely on your consent (e.g., newsletter, form submissions) and our legitimate interests (e.g., operating and improving a public directory, ensuring security, and preventing abuse). Anonymous analytics can be disabled using the control above.

Accuracy & third-party links

We try to keep club and race information current, but details may be incorrect or out of date. Schedules, race dates, locations, availability, and policies can change without notice. Always check the official club or race source before attending or registering.

Club, race, registration, and map links lead to third-party sites. SoleMiles does not process race registrations. We aren’t responsible for third-party content, policies, security, or practices.

Sharing

We share information with service providers who help us run the Service (e.g., hosting, security, email delivery). They process data on our behalf under appropriate safeguards. We may disclose information to comply with law, respond to lawful requests, or protect rights, safety, and security.

International transfers

We may process and store information in countries other than where you live. Where required, we use appropriate safeguards for cross-border transfers.

Retention

We keep data as long as necessary for the purposes described above (e.g., to operate the directory, maintain reliable records, and comply with legal obligations). You may request removal or correction of club or race information, or deletion of your submission details (subject to our need to retain certain records).

Your choices & rights

• Newsletter: use the unsubscribe link in any email.
• Product analytics: use the control above to disable or re-enable anonymous PostHog analytics at any time.
• Directory corrections: if you organise a club or race and want to correct or remove information, email us and we’ll help verify and update the listing.
• Depending on your location, you may have rights to access, correct, delete, or port certain personal data. Contact us to exercise these rights.

Children

Our Service is not directed to children under 13 (or the applicable minimum age in your jurisdiction). If you believe a child provided personal data, contact us to request removal.

Security

We use reasonable safeguards to protect information, but no method of transmission or storage is 100% secure.

Changes

We may update this Policy from time to time. We’ll change the “Last updated” date above and, if changes are material, provide additional notice where appropriate.
